TThe Capes Homeowners Association is seeking a professional, full-time Resident Manager to live and work at The Capes located on the beautiful north Oregon coast.


The Capes is a planned, gated, oceanfront community of 185 single-family homes, townhomes and cottages located in Oceanside on the Oregon Coast. Built in 1992, the amenities include direct access to the beach, a Bridge House for social gatherings and meetings, a tennis and pickleball court, bocce ball lawn and a picnic area affectionately known as The Meadow.

All homeowners are members of The Capes Homeowners Association which is managed by a seven-person board of elected directors. Adhering to governing documents of By-Laws and CC&Rs, the association strives to maintain and enhance property values in a safe and beautiful environment. The enjoyment of homeowner property and positive social interaction, as well as high construction, maintenance and appearance standards are key factors in contributing to the success of The Capes.

Job Overview:  


The Executive Vice President will lead all business efforts within the designated market, have direct responsibility of people engagement, managing to an annual budget with the intent of growing EBITDA year-over-year, and manage Association/Community Manager team leaders including interaction with Board of Directors and the property owners they serve. The ideal candidate will work cross-functionally with FirstService Residential departments such as Marketing/Business Development, IT, HR, Legal and Corporate Accounting to ensure the business is appropriately managed/supported/sized in these matrix organizations. Further, the Executive Vice President will work with the Client Accounting Controller to ensure all property level financial reporting is accurate and timely.


Compensation: $200K-$250K plus 20% discretionary bonus and long-term incentive program


FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client’s property, the salary or wage will also be premised upon the client’s directive. The base pay range is subject to change and may be modified in the future.

Your Responsibilities:

• Partner with the Human Resources department on all associate relations issues to ensure operational integrity and client service levels are maintained.

• Lead and contribute to an inclusive work environment where all feel valued.

 

Growth and Strategy 

• Positively contribute to California sales and EBITDA goals

• Provide overall executive leadership and strategic direction for designated market. This includes frequent interaction with association/community Managers, business leaders, existing clients, prospective new clients, FirstService affiliates and FirstService Residential senior managers.

• Responsible for annual business plan - driving financial performance to achieve targeted performance margins as identified in business plan.

• Provides year-end input to corporate budget and in particular, to those line items within area of responsibility.

• Maintain client retention goals as outlined in business plan.

• Develop and implement strategies that promote the organization’s mission, core values and global service standards.

• Identify client opportunities with new and existing clients. In partnership with Business Development and Marketing, support and participate in client presentations that lead to generating new business.

• Drive business improvement and compliance through new or enhanced technology/processes. Influence stakeholders and teams to adopt changes including communication plans related to key initiatives.

• Commits to attending and leading in certain circumstances all designated company meetings and events within areas of responsibility; including supervisor meetings, team meetings, client meetings and others that may arise from time to time.

• Build and support the organizational culture that drives passion for continuous improvement and development throughout the company.

• Works collectively with the regional leadership and colleagues on strategies to effect and implement new company procedures, policy changes, etc.

• Drives and supports the launch of new clients into the company’s operations both prior to effective date of new contract and up through an established onboarding process.

 

Operations: 

• Follows regional and/or national policies and operational protocols.

• Implement best practices, innovation, creative thinking, and employment of business practices throughout the company.

• In a growing and evolving culture of change, lead and participate as an Executive Sponsor for Regional or National initiatives.

• Manage and direct regional leaders (Senior Vice Presidents, Vice Presidents, Directors, General Managers, and Support Teams) to ensure the company’s operational priorities are aligned with the company policy, legal guidelines and long-term goals of growth.

• Participate and provide strategic, executive level leadership on the Executive Leadership Council and Community Management Council.

• Promote the consistent use of all company tools and resources to exceed client and vendor satisfaction.

• Encourage participation in at least one outside committee. For example, CAI, CACM, CIA, HBC, Chamber, Rotary, United Way, etc.

• Adheres to all company policies and guidelines.

• Reviews and approves direct report expense reimbursables.

• Review and approves operational expenses as required through regional/national policies.

• Other duties as assigned.


Skills & Qualifications: 

• Must possess college degree; or equivalent industry experience.

• Graduate level education or higher desired.

• Industry designation welcomed; CCAM, CACM, PCAM, etc.

• 8+ years of proven leadership skills and ability to lead large teams at an executive level or greater.

• Strong ethical practices.

• Strong verbal and written communication skills.

• Strong internal/external customer relations skills required with ability to communicate effectively with all levels of management, associates, vendors and other stakeholders.

• Organizational and time management skills with the ability to multi-task, implement, and monitor progress for successful completion.

• Ability to work well under pressure in a fast-paced environment meeting deadlines.

• Demonstrates attention to detail.

• Demonstrates awareness of variables which could affect associate retention and/or morale; for both clients and associates.

• Demonstrates reliability and dependability to support daily operations, company meetings, client meetings and/or other activities.

• Demonstrated ability to train, develop and educate associates.

• Proficient in daily use and knowledge of Microsoft Office applications; including MS Word, Excel, PowerPoint, Outlook, Publisher, and Teams.

This is a full-time position with typical scheduled hours, Monday through Friday, 8:00 a.m. – 5:00 p.m.  May be required to work overtime as needed and approved by supervisor, including occasional evening meetings.  Consistent and regular attendance required.

 

Hours over and above normal office hours will occur, including evenings, holidays, and some weekends. Schedule is subject to change based on business needs.


Supervisory Responsibility:

Manage 5-15 direct reports that ensure regional daily operations adhere to company policies, best-practices and delivers a high level of client and associate satisfaction. Direct reports could include, but are not limited to: Vice Presidents, Regional Directors, Regional Managers, General Managers, Executive Assistants and other positions as deemed appropriate.

This role involves overseeing a portfolio of homeowner associations (HOAs), ensuring exceptional management and service delivery. The successful candidate will be responsible for managing daily operations, financial activities, and communications of various associations within the portfolio.

Responsibilities:

· Manage and oversee the day-to-day operations of multiple homeowner associations, ensuring compliance with all association governing documents and state laws.

· Develop and maintain positive relationships with Board members, residents, and vendors.

· Coordinate and attend Board meetings, including preparation of meeting agendas, packets, and minutes.

· Implement Board decisions and follow up on action items.

· Minimum of 3 years of experience in HOA management or a similar role.

· Strong understanding of the regulatory environment of homeowner’s associations in California.

· Excellent organizational, leadership, and communication skills.

· Proficiency in Microsoft Office and property management software.

· CAM (Certified Association Manager) or similar certification preferred.

· Ability to manage multiple projects effectively and meet deadlines.

· Customer-focused attitude with high level of discretion and professionalism.
